In this week’s letter, I share productivity hacks and systems that have personally helped me improve my time management in the fast-paced world of Real Estate.
While the topic of productivity might seem oversaturated, I assure you that my aim is not to sell but to share insights from experimenting with various systems to enhance work efficiency amidst the constant barrage of information.
Real Estate professionals face unique challenges:
Navigating through hundreds of pages of repetitive consultant reports.
Managing project drawings.
Keeping abreast with market reports and analysis.
Engaging with new Leads and Prospects.
I’ll walk you through my strategies to tackle these challenges and boost efficiency.

1. Mastering Task Management: A Practical Approach
I’ve learned that if I don’t jot my tasks down on paper, staying on top of my priorities becomes a challenge. A simple morning ritual with pen and paper, listing my daily tasks, has been instrumental in cementing them in my mind.
A few years back, I discovered the GTD (Getting Things Done) system by David Allen, a comprehensive method detailed in his book. For those interested in a deep dive, I highly recommend exploring it further. However, I found managing the GTD system slightly cumbersome, leading me to seek a simpler solution.
Enter the Getting Sh-t Done method. It's streamlined and straightforward and has significantly improved my productivity. For a visual guide on how it functions, please see the image below taken from my notebook.
2. The Second Brain: Revolutionising Information Management
The real estate sector is notorious for its information overload. While I was working on major urban regeneration projects like Olympia and Milano Innovation District (MIND) only amplified this challenge.
Then as an independent consultant, the need to juggle various tasks and information became even more pronounced.
Since 2018, I've turned to digital tools and cloud-based note-taking apps to keep information accessible on-the-go. Recently, I have structured a Second Brain using Notion to manage notes, projects, web information and more all in one place.
I now have all my information available to me at the click of a button.
This system has not only reduced frustration but also freed up more time for value-creating activities.
3. AI-Powered Insights: Transforming Real Estate Analysis
The challenge of digesting hundreds of pages of documents in a time-crunched schedule led me to explore Generative AI, specifically OpenAI's ChatGPT, more seriously.
Since December 2023, I've been utilising AI to help me in the following activities:
Summarising and extracting relevant information from long market research reports.
Reviewing legal documents and highlighting areas of potential improvement.
Helping with drafting Pitch Decks to sell my services to prospective clients.
Helping me with reviewing my Social Content for engagement and grammar.
This exploration into AI is an ongoing experiment for me, and I plan to share more focused insights as I accumulate a broader range of case studies.
4. The Pomodoro Technique: Enhancing Focus and Productivity
Focusing on a single task can be daunting without the right method.
The Pomodoro technique has been a game-changer for me, breaking work into manageable 25-minute segments, punctuated by 5-minute breaks.
This simple yet effective method has significantly enhanced my deep work capability.
It’s all good having a system to keep everything organised, but if we can’t focus on doing the actual work then it’s no good at all.
5. Monk Mode Mornings: Crafting Time for Deep Work.
In today's distraction-filled work environment, finding time for concentrated effort is challenging.
Blocking out 'Monk Mornings' in my calendar for deep work—mornings with no emails, calls, or meetings—has been a vital strategy for maintaining focus on larger projects.
